Onefile is a leading provider of eportfolio and learning software used by thousands of training providers across the UK. Their platform supports apprenticeship programmes, vocational training, and professional development through innovative digital learning solutions.
As a critical piece of infrastructure for the education and training sector, Onefile needed to reflect the reliability and professionalism of their core product whilst providing access to essential compliance documentation and support resources.
Onefile’s tech stack had become fragmented, and its ageing WordPress website was causing operational challenges that were affecting both internal efficiency and the customer experience.
One issue that we spotted early on was the hard-coded WordPress URLs embedded within the Onefile product itself. Legal notices and policy links pointed directly to WordPress pages, meaning decommissioning the old site would immediately break these links for thousands of users. This represented a genuine compliance and customer experience risk.
Additional challenges included managing multiple WordPress environments with unclear ownership, implementing a security.txt file for ISO 27001 compliance within HubSpot's hosting structure, resolving content migration issues (incorrect dates, broken thumbnails, product name typos), rebuilding navigation with a scalable mega-menu system, and empowering the marketing team to manage the platform independently.
We phased the project, beginning with the most complex, module-heavy pages. By delivering the core templates and animations first, the Onefile team could start building pages using the new system straight away.
This working style gives everyone clarity and control while ensuring continuous value throughout the project.
Before the migration could begin, we needed to protect Onefile’s historical content. We took full WordPress backups and created an HTTrack archive so the old site remained fully viewable if needed.
Once the backups were verified, we worked with Onefile’s infrastructure team to shut down WordPress hosting and disconnect the domain. This included sorting out staging-site permissions and clarifying exactly what was being decommissioned.
This careful preparation meant Onefile could finally switch off WordPress with confidence, without losing reference material or creating unnecessary risk.
We worked with Sparkloop’s design team to install the Sprocket Rocket Pro design system into HubSpot CMS Enterprise, giving OneFile a flexible, modular foundation they could manage in-house.
Custom modules were developed for animation-ready hero blocks, stat counters, and a global scrolling image section, providing consistency across the site while still allowing creative freedom.
We also rebuilt the navigation, implementing a scalable mega-menu based on proven patterns to support future growth.
Regular Slack comms and quick screen-share sessions with Sparkloop kept iteration fast and the project running smoothly.
As part of the transition, we tackled two critical technical tasks: developing a comprehensive redirect strategy and restoring the security.txt file to ensure ISO compliance.
For redirects, we mapped all legacy WordPress URLs to their new HubSpot equivalents and configured the necessary rules. HubSpot’s native redirect tools handled this well, ensuring customers could still access policy documents without hitting errors.
We also configured HubSpot to correctly serve the security.txt file at the standard /.well-known/ path, updated its content, and ensured it met ISO 27001 requirements.
Content quality needed careful attention, as the site included hundreds of pages and blog posts.
We created rules to handle migrated publication dates, ensuring older posts remained correctly backdated and didn’t appear as newly published content in HubSpot.
Resource pages were thoroughly reviewed. Broken thumbnails were replaced, post-migration typos were corrected, and product name inconsistencies were fixed throughout.
Legacy footer links were systematically updated, internal broken links identified via a site scan were repaired, and missing pages were either restored or properly redirected. This detailed work ensured the new site maintained content integrity while improving overall quality.
We provided hands-on training through screen shares, helping the team get comfortable with HubSpot’s interface and editing tools.
To support ongoing updates, we invited the onefile team to use our support system. A dedicated support inbox automatically creates a ticket, keeping requests out of individual email inboxes and ensuring nothing gets missed. This gives clients a transparent, trackable, and reliable workflow for all website tasks.
Our ongoing relationship with the marketing team allows them to take full ownership of day-to-day content management, while knowing expert help is always available when needed.
Following the CMS migration, our work naturally expanded into full HubSpot CRM operations support. This reflects a simple truth: to get the most value from HubSpot, the entire platform, not just the website, needs to be optimised.
Our CRM Ops support now covers configuration improvements, sales process automation, custom reporting, ISO-aligned data practices, and onboarding for new team members so they can use HubSpot confidently from day one. We’re also supporting upcoming data cleansing work and helping connect HubSpot with Salesforce to keep both systems aligned.
What began as a CMS project has evolved into a long-term strategic partnership, with Burrows Consultancy acting as Onefile’s dedicated HubSpot expert across both CMS and CRM. This unified approach helps the organisation get more value from HubSpot at every level.
